These policies exist to protect you and to ensure that every Polaris engagement is built on clarity, honesty, and mutual respect. Please read them before booking.

Professional Disclaimer

Nature of Services

Polaris Life Strategy provides professional life coaching, personal development consulting, and complementary wellness support. Our services are educational and supportive in nature and are intended to help clients clarify goals, explore options, and take meaningful action in their lives.

Polaris Life Strategy is a coaching and consulting practice. We are not a medical, psychological, therapeutic, legal, or financial advisory service.

Important: Polaris Life Strategy services are not a substitute for and should not replace professional medical advice, diagnosis, or treatment; licensed psychotherapy or mental health counselling; legal advice; or regulated financial advice. If you are experiencing a mental health crisis, please contact a licensed mental health professional or crisis service immediately.
Use of Complementary Disciplines

Polaris Life Strategy uses nine complementary disciplines - including astrology, numerology, palmistry, aura cleansing, yoga, meditation, music therapy, ayurveda, and spirituality - as supportive tools within our coaching framework.

These tools are used to provide insight, facilitate reflection, and support personal development. They are not presented as scientifically proven treatments, medical interventions, or guaranteed predictors of any outcome. Individual results will vary.

Client Responsibility

Clients engage with Polaris Life Strategy of their own free will and take full responsibility for decisions made as a result of coaching sessions or program participation. Polaris Life Strategy does not guarantee any specific outcome, result, or transformation.

Clients are encouraged to continue working with relevant licensed professionals - including doctors, therapists, lawyers, and accountants - alongside any Polaris engagement.

Right to Decline Services

Polaris Life Strategy reserves the right to decline, discontinue, or refer any client where it is determined that our services are not an appropriate fit, or where a client’s needs exceed the scope of coaching. This determination is made with care and in the best interest of the client.

Cancellation & Rescheduling Policy
Effective: May 1, 2026
Why this policy exists

Each Polaris session involves significant preparation time, dedicated calendar availability, and practitioner energy. This policy exists to protect both the client’s investment and the practitioner’s capacity to deliver the best possible service to all clients.

North Star Program (8-week)

Cancellation after Session 1 has commenced No refund. Unused sessions may be credited toward another service at practitioner discretion.
Cancellation after Session 3 No refund. No credit.
Individual session cancellation (48+ hrs notice) Free reschedule once per session
Individual session cancellation (less than 48 hrs) Session may be forfeited at practitioner discretion
Payment plans: Cancellation does not cancel outstanding payment plan instalments for services already delivered. Remaining instalments for undelivered sessions will be released upon written request, subject to the above conditions.
VIP Strategy Day

7–14 days before the day 50% refund or one reschedule (subject to availability)
Less than 7 days / no-show No refund. Full fee forfeited.
Polaris Circle (Monthly Membership)

The Polaris Circle operates on a monthly rolling subscription. Members may cancel at any time by providing written notice at least 5 business days before the next billing date. Cancellation takes effect at the end of the current billing period. No partial-month refunds are issued.

Access to community resources, recordings, and materials ceases at the end of the final paid period.

Immersion Retreats

Retreat bookings are non-refundable within 30 days of the retreat date. Cancellations made 31 to 60 days prior receive a 50% refund. Cancellations made more than 60 days prior receive a full refund minus a $100 deposit. Spots may be transferred to another individual with prior written approval.

Exceptional Circumstances

In the event of a documented medical emergency or serious unforeseen circumstance, Polaris Life Strategy will review requests for exceptions to this policy on a case-by-case basis. We approach these situations with compassion and fairness.

Cancellation by Polaris Life Strategy

In the rare event that Polaris Life Strategy must cancel a session or service, clients will be offered a full refund or a reschedule at no additional cost. We will provide as much notice as possible and will always act in the client’s best interest.

Privacy Policy

Who we are

Polaris Life Strategy is based in Oshawa, Ontario, Canada. We are committed to protecting the privacy and confidentiality of all clients and website visitors in accordance with Canada’s Personal Information Protection and Electronic Documents Act (PIPEDA) and applicable Ontario privacy legislation.

Information we collect
  • Name, address, email address, phone number, and location provided during booking or intake
  • Date, time, and place of birth (for astrological and numerological work, provided voluntarily)
  • Health, personal, and emotional information shared during sessions or via intake forms
  • Payment information (processed securely via third-party payment providers; we do not store card details)
  • Website usage data collected via cookies and analytics tools
  • Communications sent to us via phone, email, contact forms, or messaging platforms
How we use your information
  • To deliver coaching sessions, programs, and services you have booked
  • To prepare personalised materials including intake summaries and astrological readings
  • To process payments and maintain financial records as required by law
  • To communicate with you about your bookings, programs, and relevant offerings
  • To improve our services based on anonymised feedback and data
  • To send marketing communications, only where you have given explicit consent
Confidentiality of session content

Everything shared in a Polaris coaching session is treated as strictly confidential. We do not share, sell, or disclose session content to any third party without your explicit written consent, except where required by law (for example, in cases of imminent risk of harm to yourself or others).

Anonymised, non-identifiable insights may be used for professional development, supervision, or service improvement purposes.

Data sharing

We do not sell your personal data. We may share limited data with trusted third-party service providers (such as scheduling software, payment processors, and email platforms) solely for the purpose of delivering our services. These providers are required to protect your data in accordance with applicable privacy law.

Data retention

Client records are retained for a minimum of 7 years following the end of an engagement, as required by Canadian tax and business law. Session notes and personal information are stored securely and destroyed appropriately at the end of the retention period.

Your rights

Under PIPEDA and applicable provincial law, you have the right to access the personal information we hold about you, request corrections, withdraw consent to non-essential communications, and request deletion of your data (subject to legal retention requirements). Terms of Use

Acceptance of terms

By booking a session, enrolling in a program, or using this website, you confirm that you have read, understood, and agree to these Terms of Use and all associated policies. If you do not agree, please do not use our services or this website.

Age requirement

Polaris Life Strategy services are available to individuals aged 18 years and over. By booking, you confirm that you are at least 18 years of age.

Client responsibilities
  • Provide accurate and complete information during intake and throughout your engagement
  • Attend sessions on time and prepared; notify us promptly if you need to cancel or reschedule
  • Engage honestly and openly to get the most from your sessions
  • Take responsibility for your own decisions and actions following coaching
  • Treat your practitioner with respect in all communications
  • Not record sessions without prior written consent
Intellectual property

All materials provided by Polaris Life Strategy - including workbooks, session summaries, the Polaris Blueprint document, guided practices, and digital products - are the intellectual property of Polaris Life Strategy. These materials are for your personal use only and may not be reproduced, shared, sold, or distributed without prior written consent.

Limitation of liability

To the fullest extent permitted by applicable law, Polaris Life Strategy and our practitioners and/or counsellors and/or consultants and/or advisors and/or employees and/or associates and/or principals shall not be liable for any indirect, incidental, special, or consequential damages arising from participation in our services or use of this website. Our total liability in any circumstance shall not exceed the total fees paid by the client for the specific service giving rise to the claim.

Testimonials & case studies

Client testimonials shared on our website and marketing materials are genuine and shared with the client’s written consent. Identifying details may be changed to protect client privacy. Results described in testimonials are individual experiences and are not guaranteed.

Governing law

These terms are governed by the laws of the Province of Ontario and the federal laws of Canada applicable therein. Any disputes shall be subject to the exclusive jurisdiction of the courts of Ontario.

Changes to these terms

Polaris Life Strategy reserves the right to update these Terms of Use at any time. Updated terms will be posted on this page with a revised effective date. Continued use of our services following any update constitutes acceptance of the revised terms.

Refund Policy
Effective: May 1, 2026
General principle

Polaris Life Strategy is committed to delivering genuine value in every session and program. We take the quality of our work seriously and stand behind it. At the same time, transformation work requires active participation and commitment from the client - results cannot be guaranteed and refunds are not issued on the basis of outcome alone.

Refund eligibility
  • Refunds are only available within the timeframes specified in the Cancellation Policy above
  • Digital products (workbooks, meditations, courses) are non-refundable once accessed or downloaded
  • Polaris Circle monthly memberships are non-refundable for the current billing period
  • Refunds are not issued where a client has participated in sessions and subsequently decided the program is not for them
Service failure

If Polaris Life Strategy fails to deliver a service as agreed due to reasons within our control, we will offer a full refund or replacement service at the client’s choice. We will always act with integrity in these situations.

How to request a refund

All refund requests must be submitted in writing to Refund@PolarisLifeStrategy.com within the applicable timeframe. Please include your name, the service booked, the date of booking, and the reason for your request. We will respond within 5 business days.

Processing time: Approved refunds are processed within 10 business days and returned to the original payment method. Processing times may vary depending on your financial institution.
